Printer Offline

HP Inkjet / Laser Printer

Severity: Moderate

What Does This Error Mean?

HP printer 'offline' in Windows or macOS means the computer cannot communicate with the printer. This is almost always a software or network issue, not a hardware failure. Restarting the Print Spooler service on Windows and removing/re-adding the printer resolves most cases.

Affected Models

  • HP DeskJet series
  • HP Envy series
  • HP OfficeJet series
  • HP LaserJet series
  • HP OfficeJet Pro series

Common Causes

  • Print Spooler service hung or stuck on Windows
  • Printer IP address changed — computer still pointing at old IP
  • Printer set to 'Use Printer Offline' mode accidentally
  • USB cable disconnected
  • Wi-Fi connection dropped between printer and router
  • Outdated or corrupted printer driver

How to Fix It

  1. Check 'Use Printer Offline' is not enabled.

On Windows: go to Settings → Printers → click your HP printer → Open Print Queue. Check the Printer menu at the top — if 'Use Printer Offline' has a tick next to it, click it to deselect. This mode is sometimes toggled accidentally and makes the printer appear offline even when connected.

  2. Restart the Print Spooler service.

Press Windows + R, type services.msc, and press Enter. Scroll to 'Print Spooler', right-click it, and select Restart. This clears stuck print jobs and resets the printer communication subsystem. After restarting, check if the printer is back online.

  3. Restart the printer, router, and computer.

Turn off the HP printer completely (hold the power button until off). Restart your router. Restart your computer. Turn the printer back on. Wait 60 seconds, then try printing. This three-device restart resolves most Wi-Fi related offline issues.

  4. Remove and re-add the printer.

On Windows: Settings → Printers → click the HP printer → Remove Device. Then click 'Add a Printer or Scanner' to add it fresh. Windows will rediscover the printer at its current IP address. This is necessary if the printer's IP address has changed since it was first installed.

  5. Assign the printer a static IP address.

HP printers that frequently go offline often do so because the router assigns them a new IP address after a restart (DHCP). Log into the printer's web interface (enter its IP address in a browser) or use the HP software to assign a static IP. Alternatively, reserve the printer's IP in your router's DHCP settings so it always gets the same address.

Frequently Asked Questions

Why does my HP printer keep going offline?

Repeated offline issues on HP printers are almost always caused by an unstable Wi-Fi connection or a dynamic IP address that changes after router restarts. Assigning a static IP to the printer (either in the printer settings or by reserving its IP in the router) solves the problem permanently. Also ensure the printer and router are within reasonable Wi-Fi range — HP wireless printers are sensitive to weak signals.
