What Does This Error Mean?

When Outlook shows 'Disconnected' or 'Working Offline' in the bottom status bar, it means Outlook is not currently connected to your email server. New emails are not arriving and emails you write are sitting in the Outbox, not being sent. This can be caused by a lost internet connection, a server issue, or — most commonly — Work Offline mode being accidentally switched on.

Common Causes

  • Work Offline mode was accidentally turned on in the Send/Receive tab

  • Your network credentials have expired and Outlook cannot re-authenticate
  • A firewall or VPN change has blocked Outlook's connection to the server

How to Fix It

  1. Check if Work Offline mode is on. Go to the Send/Receive tab at the top of Outlook. If the Work Offline button is highlighted or pressed-looking, click it to turn it off.

    This is the most common cause of this issue by far. One accidental click on that button puts Outlook into offline mode silently.

  2. Check your internet connection. Open a browser and visit any website. If the internet is not working, fix that first — Outlook cannot connect to any server without internet.

    This is especially common on laptops that have switched from Wi-Fi to a different network.

  3. Close and reopen Outlook completely. Sometimes the connection drops during a brief network hiccup and Outlook does not automatically reconnect.

    A full close and reopen forces Outlook to establish a fresh connection to the server.

  4. If Outlook prompts you for a password, enter your correct email password. An expired or changed password will put Outlook into a disconnected state while it waits for valid credentials.

    The password prompt sometimes appears as a subtle dialog box that is easy to miss. Check your taskbar for a blinking Outlook icon.

  5. Right-click the Outlook icon in your taskbar, or look in the bottom-right status bar. Sometimes clicking the connection status opens a reconnect option. Alternatively, go to Send/Receive > Send/Receive All Folders (F9) to force a reconnect attempt.

    F9 is the keyboard shortcut to force Outlook to try connecting and syncing immediately.

If Outlook stays disconnected on a work computer after trying all steps below, contact your IT department. Corporate Exchange servers and Microsoft 365 accounts require specific network access that your IT team manages. They can check server health, reset your account session, and verify firewall rules.

Frequently Asked Questions

I can browse the web but Outlook still says Disconnected. Why?

Having internet access does not guarantee Outlook can reach its email server. A few things can block Outlook specifically while allowing general web browsing: Your email server may be temporarily down. A VPN may be blocking the specific port Outlook uses (usually 443 or 587). Your firewall may have a rule that blocks Outlook. Try disabling your VPN temporarily and see if Outlook reconnects.

Emails are sitting in my Outbox and not sending. Will they send automatically when I reconnect?

Yes. Emails in the Outbox are queued and will send automatically as soon as Outlook establishes a connection to the server. You do not need to do anything extra — just fix the connection issue and they will go out. If an email has been stuck in the Outbox for a long time, double-click it to open and resave it, which refreshes the send queue.

Is there a way to see exactly why Outlook is disconnected?

Yes — look at the full status message at the very bottom of the Outlook window. It often says more than just 'Disconnected' — it may say 'Trying to connect' or 'Need Password' or show a specific error. You can also go to Send/Receive > Show Progress to see a detailed connection log. This gives you more specific information to narrow down the cause.
