Not Receiving Email

Microsoft Microsoft Outlook

Severity: Moderate

What Does This Error Mean?

New emails are not appearing in your Outlook inbox. This is most often caused by Outlook being set to Work Offline, a full mailbox, or an email rule redirecting messages. A few quick checks will usually get emails flowing again.

Affected Models

  • Microsoft Outlook for Windows
  • Microsoft Outlook for Mac
  • Outlook on the Web (OWA)
  • Microsoft 365 Outlook

Common Causes

  • Outlook is set to 'Work Offline' and is not connected to the mail server
  • Your mailbox is full and the mail server is rejecting new messages
  • An email rule is silently moving incoming mail to another folder
  • Your email account password has changed and Outlook is not authenticated
  • A corrupted Outlook data file (OST or PST) is preventing mail sync

How to Fix It

  1. Check if Outlook is set to Work Offline. Look at the bottom bar of Outlook — if it says 'Working Offline', click the 'Send/Receive' tab and then click 'Work Offline' to turn it off.

This is the most common cause. One click fixes it.

  2. Check your Junk Email and other folders. New emails may have been moved by a rule or spam filter. Look in Junk Email, Deleted Items, and any custom folders.

Also check if you have any email rules set up that might be moving messages automatically.

  3. Check your mailbox storage. In Outlook, go to File > Info and look at your mailbox usage. If it is full or almost full, delete old emails and empty the Deleted Items folder.

A full mailbox silently rejects incoming email. The sender may get a bounce, but you won't see the message.

  4. Re-enter your email password. Go to File > Account Settings > Account Settings. Select your email account and click 'Change'. Re-enter your password and click Next.

If your password changed recently, Outlook will be stuck trying to connect with the old one.

  5. Force a send and receive. Press F9 or click Send/Receive > Send/Receive All Folders. Watch the status bar at the bottom for any error messages.

If an error appears, note it down — it will help diagnose the problem further.

When to Call a Professional

If your mailbox is managed by a company IT department, contact them if you suspect a server-side issue. They can check whether emails are arriving at the server but failing to reach your inbox.

Frequently Asked Questions

Why did emails suddenly stop arriving in Outlook?

The most common sudden causes are Outlook going offline, a password expiry, or a full mailbox. Check all three — one of them is almost always the culprit.

Emails arrive on my phone but not in the Outlook app on my PC — why?

Your phone connects directly to the mail server. Outlook on your PC may be offline or using a corrupted data file. Check the 'Work Offline' setting first.

Can a spam filter block all my emails?

Yes. If your spam filter settings are too aggressive, legitimate emails get blocked. Check your Junk Email folder and adjust the filter level in Outlook's Junk Email Options.
