Product activation failed

Microsoft Microsoft Office

Severity: Critical

What Does This Error Mean?

This error means Microsoft Office cannot verify that your copy is licensed and genuine. Until Office is activated, it runs in a reduced mode — you can view files but not edit, save, or print them. Activation connects your copy of Office to your Microsoft account or product key to prove it is a legitimate purchase.

Affected Models

  • Microsoft Office 2019
  • Microsoft Office 2021
  • Microsoft 365 Personal
  • Microsoft 365 Family
  • Microsoft 365 Business

Common Causes

  • Your Microsoft 365 subscription has expired and needs to be renewed
  • You are signed into the wrong Microsoft account — the one without the Office license
  • You have installed Office on more devices than your license allows
  • Internet access is required for activation but was unavailable when Office launched
  • A recent Windows reinstall or hardware change requires Office to be reactivated

How to Fix It

  1. Open any Office app (Word, Excel, etc.), go to File > Account, and check what account is shown. Make sure it is the Microsoft account that has your Office subscription.

Using the wrong account is the most common cause. Sign out and sign back in with the correct account.

  2. Check if your Microsoft 365 subscription is active. Go to account.microsoft.com/services in a browser, sign in, and look at your active subscriptions. Renew it if it has expired.

Microsoft 365 is a subscription — it needs to be renewed annually. Once it expires, Office stops letting you edit files.

  3. Run the Office activation troubleshooter. Go to File > Account > Troubleshoot in any Office app. Follow the on-screen steps.

Microsoft built a troubleshooter specifically for activation problems. It fixes the most common issues automatically.

  4. If you have a product key (from a retail box or email), go to setup.office.com, sign in with your Microsoft account, and enter the key to link it to your account.

Once the key is linked to your account, Office will activate automatically the next time it connects to the internet.

  5. If you have too many devices registered, go to account.microsoft.com/devices, sign in, and remove devices you no longer use. Then try activating again on your current device.

Microsoft 365 Personal allows Office on up to 5 devices. Microsoft 365 Family allows up to 6 users with 5 devices each.

When to Call a Professional

If you purchased Office from a retailer and the product key is not working, contact Microsoft Support at support.microsoft.com. If Office came pre-installed on a new PC and activation fails after a repair or reinstall, your PC manufacturer may need to assist with the license recovery.

Frequently Asked Questions

I bought a new PC and Office came pre-installed. Why is it saying activation failed?

Most pre-installed Office versions are trial versions or require you to purchase a subscription to activate. Check the documentation that came with your PC. If it included a genuine product key, find that key and enter it at setup.office.com. If no key was included, you need to purchase a Microsoft 365 subscription to use Office.

Office was working fine and then suddenly said activation failed. What happened?

This usually means your Microsoft 365 subscription expired. Microsoft sends several reminder emails before this happens — check your inbox. The fix is simply to renew your subscription at account.microsoft.com/services. Once renewed, Office re-activates automatically within a few minutes.

Can I use Office without activating it?

Only in very limited read-only mode. You can view documents but you cannot type, edit, save, or print. For full functionality, you need either an active Microsoft 365 subscription or a valid one-time purchase product key for Office 2019 or 2021.
